Booking and payment terms
Safari proposals are quoted in USD and are subject to availability until confirmed. A booking is confirmed only after we receive the required deposit and written confirmation. Final payment dates vary by itinerary, season, camp, charter flight requirements, and supplier terms. Your proposal will specify the deposit, payment schedule, inclusions, exclusions, and any supplier-specific conditions.
Prices and inclusions
Prices generally include the services listed in your confirmed itinerary, such as accommodations, meals, game drives, park or conservancy fees, and transfers where stated. Prices do not include international flights, travel insurance, visas, vaccinations, personal purchases, premium beverages, gratuities, or services not expressly listed as included.
Cancellation policy
Cancellation terms vary by supplier and travel season. Deposits may be non-refundable once supplier space is confirmed. Additional cancellation fees may apply as the departure date approaches. Your final proposal and invoice will outline the applicable cancellation schedule before payment is requested.
Changes to itinerary
We will make reasonable efforts to accommodate changes requested by the traveler. Changes may be subject to availability, supplier approval, additional costs, air schedule changes, or revised cancellation terms.
Travel insurance requirement
Comprehensive travel insurance is required for all travelers. Coverage should include trip cancellation, medical care, emergency evacuation, baggage, delays, and other risks appropriate for international safari travel. Proof of insurance may be requested before final travel documents are issued.
Liability limitations
East Africa Luxury Travel LLC acts as a travel planner and coordinator for services provided by independent suppliers, including lodges, camps, airlines, charter operators, transfer companies, guides, and local partners. We are not liable for acts, omissions, delays, schedule changes, accidents, loss, injury, or damages caused by suppliers or circumstances beyond our reasonable control.
Force majeure
We are not responsible for failure or delay caused by events beyond our control, including natural disasters, severe weather, wildlife conditions, public health events, government restrictions, civil unrest, strikes, airline disruptions, border closures, or other force majeure events. In such circumstances, supplier terms and available alternatives will determine refunds, credits, or itinerary changes.
Traveler responsibility
Travelers are responsible for valid passports, visas, health requirements, travel insurance, accurate personal information, and compliance with local laws and safety instructions. Requirements can change, so travelers should review official government guidance before departure.
